Booking Information

Terms & Conditions

Please read these terms carefully before requesting, confirming or paying for a tour, transfer, chauffeur service or travel experience arranged through Trip Sri Lanka.

These Terms and Conditions apply to travel enquiries, quotations, bookings, tours, chauffeur services, airport transfers, accommodation arrangements, activities and other services arranged by Trip Sri Lanka.

By confirming a booking, making a payment or using a service arranged by Trip Sri Lanka, you acknowledge that you have read, understood and agreed to these Terms and Conditions.

In these terms, “Trip Sri Lanka”, “we”, “our” and “us” refer to Trip Sri Lanka and people authorised to provide services on its behalf. “Traveller”, “customer”, “you” and “your” refer to the person making the booking and all travellers included in that booking.

These terms should be read together with our Privacy Policy and Booking and Cancellation Policy.

Your Quotation Forms Part of the Agreement

Your individual quotation, itinerary, invoice, booking confirmation and written inclusions or exclusions form part of your agreement with Trip Sri Lanka. Where a specific written booking term differs from a general term on this page, the specific written booking term will normally apply to that booking, subject to applicable law.

1. Booking Agreement

A general enquiry or quotation request does not create a confirmed booking.

A booking becomes confirmed only when:

  • we confirm the requested services in writing;
  • you accept the quotation or itinerary;
  • the required deposit or payment has been received; and
  • the relevant services remain available.

The person making the booking confirms that they are at least 18 years old and have authority to accept these terms on behalf of every traveller included in the booking.

The lead traveller is responsible for providing these terms and all booking information to the other travellers.

2. Quotations and Availability

Quotations are prepared using the information provided by the traveller and the prices and availability available at the time of preparation.

Unless the quotation states otherwise:

  • services remain subject to availability until confirmed;
  • hotel rooms and activity spaces are not held indefinitely;
  • quoted prices may have an expiry date;
  • photographs are illustrative and may not show the exact room or vehicle;
  • travel times are estimates rather than guarantees; and
  • a quotation may be revised if traveller details or requirements change.

Where a quoted service is no longer available, we may offer a reasonable alternative. Any price difference will be communicated before confirmation.

3. Prices and Currency

Prices will be shown in the currency stated in the quotation, booking confirmation or invoice.

A price may be calculated:

  • per person; per child; per room; per vehicle; per kilometre; per day; per activity; or as a complete package price.

Travellers are responsible for checking how the price has been calculated and what is included before confirming the booking.

Prices may change before confirmation because of exchange-rate changes, supplier price changes, government taxes, park fees, fuel charges or changes to the requested itinerary.

After confirmation, we will not change a price without a reasonable basis, such as a traveller-requested change, additional service, government fee, tax change, supplier charge or correction of an obvious pricing error.

4. Deposits and Payments

The deposit, balance and payment deadlines applicable to your booking will be stated in your quotation, invoice or booking confirmation.

Payments must:

  • be made using an approved payment method;
  • be received by the stated deadline;
  • include the correct booking or invoice reference where requested; and
  • be made in the currency or equivalent amount shown on the invoice.

Bank, card, payment-platform, conversion or international-transfer charges are the responsibility of the payer unless expressly included.

A booking may be released or cancelled if payment is not received by the required deadline. Any resulting supplier fees may be payable by the traveller.

Important: Do not send cash or payment-card details through ordinary email, social-media messages or unverified payment links.

5. Traveller Information

Travellers must provide complete and accurate information required to arrange the booking.

This may include: full names matching travel documents; contact information; nationality; arrival and departure details; flight information; hotel details; passenger ages; rooming arrangements; dietary requirements; mobility or accessibility requirements; and other information reasonably required by a supplier.

Trip Sri Lanka is not responsible for a loss, delay or additional expense caused by inaccurate, incomplete or late information provided by a traveller.

6. Inclusions and Exclusions

Only services expressly listed as included in the confirmed quotation or itinerary are included in the booking price.

Possible Inclusions

  • private transportation;
  • chauffeur or chauffeur-guide service;
  • specified accommodation;
  • selected meals;
  • listed activities;
  • airport pickup or drop-off;
  • drinking water where stated; and
  • taxes or fees specifically listed.

Common Exclusions

  • international and domestic flights;
  • visas and travel documents;
  • travel insurance;
  • meals not specifically included;
  • personal expenses;
  • optional activities;
  • tips and gratuities;
  • excess luggage;
  • medical expenses; and
  • services not shown in the confirmation.

Travellers should review the inclusions and exclusions carefully before making payment.

7. Changes Requested by Travellers

Requests to change dates, accommodation, routes, passenger numbers, activities or other booking details must be made in writing.

We will try to assist, but changes are subject to: supplier availability; operational feasibility; the notice provided; supplier amendment or cancellation fees; price differences; and additional administration or transport costs.

A substantial change may require cancellation of the original booking and creation of a new booking.

8. Changes Made by Trip Sri Lanka or Suppliers

Travel arrangements may need to change because of weather, road conditions, supplier availability, safety concerns, government restrictions, public events, transport disruption or other operational reasons.

Where reasonably possible, we will: inform the traveller of a significant change; offer a suitable alternative; maintain a similar standard of service where possible; and explain any material price difference.

Minor adjustments to timing, route order, vehicle, guide, accommodation room allocation or activity scheduling may be made where reasonably necessary.

9. Cancellations and Refunds

Cancellation requests must be submitted in writing by the lead traveller. The cancellation becomes effective when received and acknowledged by Trip Sri Lanka.

Cancellation charges depend on: the notice given; the confirmed services; supplier cancellation conditions; non-refundable payments already made; payment-processing charges; work already performed; and the specific policy stated in the quotation.

Refunds, where due, will normally be returned using the original payment method where reasonably possible. Bank, exchange-rate and payment-provider differences may affect the amount received.

10. Accommodation

Accommodation standards, room sizes, bedding arrangements, facilities and services vary between properties.

Hotel star ratings and descriptions may be assigned by suppliers, platforms, authorities or Trip Sri Lanka for general guidance. They may not be directly comparable between countries or properties.

Standard check-in and check-out times are determined by each property. Early check-in, late check-out, adjoining rooms, specific views and particular room numbers cannot be guaranteed unless expressly confirmed.

Travellers are responsible for paying incidental charges, deposits, minibar costs, room damage and other personal expenses directly to the accommodation provider.

11. Transport and Chauffeur Services

Vehicle type and capacity will be selected according to the booking, passenger number, luggage and route.

Travel times are estimates and may be affected by: traffic; weather; roadworks; road closures; public events; police or security controls; railway crossings; guest stops; and local travel conditions.

Travellers must wear seat belts where available, comply with safety directions and avoid behaviour that distracts the driver.

Smoking, illegal substances, dangerous conduct and intentional vehicle damage are prohibited.

Additional kilometres, waiting time, late-night services, route changes, parking, tolls or overnight driver arrangements may incur additional charges where they fall outside the confirmed booking.

12. Activities, Safaris and Attractions

Activities may be operated by independent suppliers and may be subject to age, height, weight, health, fitness, clothing or safety requirements.

Travellers must: follow operator instructions; use required safety equipment; disclose relevant health or mobility concerns; avoid participation while impaired by alcohol or drugs; respect wildlife and protected areas; and accept that outdoor activities may be changed for safety reasons.

Wildlife sightings, train seats, weather conditions, sunsets, ocean conditions and natural phenomena cannot be guaranteed.

13. Health, Safety and Accessibility

Travellers are responsible for considering whether a destination, itinerary or activity is appropriate for their personal health, fitness, mobility and circumstances.

Before confirmation, inform us about any relevant: mobility limitation; allergy; dietary requirement; medical equipment; pregnancy-related requirement; child-seat requirement; or other assistance need.

Trip Sri Lanka will try to assist but cannot guarantee that every destination, vehicle, hotel or activity is fully accessible. Travellers should obtain appropriate medical advice, medication and vaccinations before travel.

14. Passports, Visas and Travel Documents

Travellers are responsible for obtaining and carrying valid: passports; visas or travel authorisations; airline documents; travel insurance evidence; driving permits where applicable; health certificates where required; and documents required for children or minors.

General information provided by Trip Sri Lanka is not a guarantee of entry. Immigration and entry decisions are made by the relevant authorities.

15. Travel Insurance

Comprehensive travel insurance is strongly recommended for every traveller.

Appropriate cover may include: medical treatment and evacuation; trip cancellation or interruption; lost, stolen or damaged belongings; flight disruption; personal liability; adventure activities; pre-existing medical conditions; and other risks relevant to the itinerary.

Travellers are responsible for reviewing the exclusions and conditions of their chosen insurance policy.
